- Booking and Payment
- A non-refundable deposit of 20-30% of the total trip cost is required to confirm the booking.
- Full payment must be completed at least 30 days before the trip starts
- Payments can be made via bank transfer, credit card, or cash in Nepal. Any bank charges are the client’s responsibility.
- Cancellation and Refund Policy
- Cancellation 30 days before departure: Full refund (excluding deposit).
- Cancellation 15-29 days before departure: 50% refund.
- Cancellation less than 15 days before departure: No refund.
- If Sherpa Holic Trek & Expedition cancels the trip due to unforeseen circumstances (weather, political issues, etc.), a full refund or alternative trip will be offered.
- Travel Insurance
- All clients must have travel insurance covering high-altitude trekking, emergency evacuation, and medical expenses.
- Sherpa Holic Trek & Expedition is not responsible for costs arising from illness, accidents, or evacuation.
- Health and Fitness
- Clients Must be ensure They are physically fit and consult a doctor before trekking.
- Sherpa Holic Treks & Expedition is not responsible for any pre-existing medical conditions or health issues arising during the trip.
- Medical clearance may be required for certain high-altitude treks.
- Itinerary Changes & Delays
- Sherpa Holic Trek & Expedition reserves the right to modify the itinerary due to weather, natural disasters, flight cancellations, or safety concerns.
- Any additional costs due to delays (hotel stays, accommodation extra meals etc ) must be covered by the client
- Risks & Liabilities
- Adventure travel involves inherent risks (weather, altitude sickness, accidents)
- The company prioritizes safety but is not liable for:
- Personal injury or illness
- Loss/damage of personal belongings
- Delays or cancellations due to external factors
- Clients must follow the guide’s instructions at all times.
- Guide & Staff Authority
- The trekking guide has the final authority regarding safety, itinerary changes, and group management.
- Clients must follow the guide’s instructions for safety reasons.
- Permits and Documentation
- Sherpa Holic Trek & Expedition will arrange necessary trekking permits and TIMS cards.
- Clients must provide valid passports, visas, and required documents.
- Code of Conduct
- Clients must respect local customs and environment.
- Any misconduct or illegal activity will result in termination of the trip without a refund.
- Passport & Visa
- Clients must have a valid passport and the necessary visa for Nepal.
- The company is not responsible for visa delays, rejections, or overstays.
- Equipment & Responsibility
- Clients must bring appropriate gear as recommended by the company.
- Rental gear is available but must be returned in good condition.
- Sherpa Holic Trek & Expedition is not responsible for lost, stolen, or damaged gear during the trip.
- Compliance & Dispute Resolution
- All activities comply with Nepal Tourism Board (NTB) regulations.
